Position Summary

Provide highly responsible administrative and program support to the Associate Dean for Student Success and the Center for Student Success. Ensure completion of day-to-day operations, while enhancing the overall efficiency and effectiveness of the center. Under the supervision of the Associate Dean, plan, organize and coordinate events and programs within the department. Assist with programmatic partnerships across campus.

Description of Key Responsibilities

1. Provide administrative support for the Center for Student Success, such as record keeping, preparing correspondence to faculty/students/parents, developing promotional materials, business office requests, and workshop materials; maintaining office appointment calendar; monitoring office equipment; maintaining office supply inventory; copying and filing.
2. Assist with coordination of the Center for Student Success programs in collaboration with College offices/departments, including coordinating logistics and hospitality for programming, communicating with vendors (catering, etc.), reserving locations, tracking attendance and oversee event setup.
3. Attend program meetings, assist where necessary, and compile program reports. Report program activities, challenges, and needs to the Associate Dean.
4. Assist with orientation and visit days.
5. In cooperation with the Director of Student Academic Success Programs, hire, train, supervise and schedule student workers and help coordinate student worker services. This will also include timecard management.
6. In cooperation with the Director of Student Disability Services, help coordinate testing and other accommodation processes. This includes scheduling and administering these various services.
7. In cooperation with the advising team, help coordinate orientation activities. This includes monitoring math placement exams.
8. Assist with attainment and/or development of assistive technology and accessible course materials.
9. Maintain and update web pages for the Center for Student Success.
10. Serve as the first contact for visitors of the Center for Student Success. Provide assistance and information for students and visitors and refer to other College offices as needed.
11. Obtain and compile data and produce a variety of reports used to support current activities and assess the need for additional activities. With reference to data and other assessment tools, assist in the development of new initiatives to better support students.
12. Perform job-related duties and tasks in support of the Center for Student Success, as well as other assigned duties.

Required Knowledge, Skills and Abilities

1. Effective interpersonal skills are critical to the success of any organization. Strong administrative and interpersonal skills can build retention and visibility as NCC strives to distinguish itself from its competitors. An individual in this position must possess the proficiency, wherewithal and knowledge of principles and processes for providing high-quality services to both internal and external visitors of the College.
2. Ability to apply general administrative support skills such as typing, creating and maintenance of files, record keeping, and the use of business-oriented computer systems, including word-processing, database management, spreadsheets, and website content management software (CMS).
3. Ability to prepare reports, in some cases detailed and extensive, which are accurate, thorough, yet concise and professionally formatted, including the application of mathematics skills necessary for compiling, summarizing and analyzing data.
4. Ability to maintain confidentiality and ascertain when and how it is appropriate to share private information to appropriate parties.
5. Ability to consistently demonstrate excellent interpersonal skills in dealing with persons both internal and external to the College, both on the telephone and in person. Ability to work effectively as a member of a small staff where cooperation and teamwork are essential.
6. Ability to deal with a number of tasks concurrently, in an environment where interruptions are routinely experienced, usually without direct supervision. This requires and individual who is well organized, detail oriented, flexible and able to effectively prioritize tasks.
7. Ability to communicate in the English language, both orally and in writing, in a manner which will reflect positively on the College.
8. Ability to help plan on and off-campus events and assist in overseeing their successful execution.
9. Ability to quickly grasp knowledge of the College organization and operation, especially as it relates to Student Success.

Distinguishing Characteristics

Due to the frequent interaction with faculty, staff, students, parents and the greater College community, the individual in this position must be an effective communicator, projecting a customer service orientation in a professional manner. Because of the nature of the office’s work, confidentiality must be maintained and discretion must be used in all communication. In addition to providing high-quality and timely support to the office, due to the diverse nature of responsibilities, this person must also be able to multi-task, prioritize effectively under minimal direction. This individual should possess superior organizational skills and should be resourceful, detail-oriented and motivated to develop new initiatives to better support our students.

Education/Training

An associate’s degree or equivalent work experience is required. Bachelor’s degree preferred.

Experience

A minimum of two (2) years in an administrative support role required. Experience within an institution of higher education preferred. Student supervisory experience and experience in a disability services, academic support, or advising office preferred.
