Position Summary

Provide support to the Office of Admission by processing applications for admission, primarily transfer,
maintaining files concerning these applicants, corresponding with them as appropriate, and preparing
regular reports which indicate status of the admission process.

Description of Key Responsibilities

1. Maintain files, both hard copy and computer?based, of Transfer applicants and ensure that these files are kept up?to?date to indicate applications received; acceptances issued; fees paid; financial aid, including scholarships, offered and accepted; and other changes in status.

2. Process all college and university transcripts received and provide documents to other areas as needed for non?Transfer prospects, applicants, and current students. Download electronically or scan paper documents for supplements to applications.

3. Communicate with applicants who have submitted applications, generally by updating and personalizing form letters and sending standard publications. Advise them of acceptance/non? acceptance decisions and, if appropriate, of additional information which they are required to submit. Acknowledge fees received and arrange for refund of fees when approved. Provide other information to applicants on a regular basis and in response to individual requests.

4. Generate periodic reports which advise counselors and administrators of the status of the admission process for applicants.

5. Supply information concerning applicants to other offices such as the Business Office, Financial Aid, Public Relations and the Registrar.

6. Supervise student worker(s) performing such tasks as filing, record keeping, preparing mailings and computer entry. Provide training as necessary.

7. Perform other duties and tasks in support of other members of the Admission Staff. This includes, but is not limited to, covering and assisting with the duties of other Administrative Assistants in the department depending on the volume of work.

8. Perform job related duties and tasks as assigned.

Required Knowledge, Skills and Abilities

1. Ability to establish and accurately maintain, in a timely manner, extensive and detailed files, both hard copy and computer?based, in an environment where interruptions such as requests for information are routinely experienced. This requires a person who is detail oriented, well organized and able to effectively prioritize tasks.

2. Ability to effectively use computer?based systems, particularly database management and word? processing.

3. Ability to quickly grasp knowledge of the College organization and operation in general and the Office of Admission in particular.

4. Ability to communicate in the English language, both orally and in writing, in a manner consistent with professional standards.

5. Ability to compile, summarize and analyze data and perform numerical calculations with consistent accuracy.

6. Ability to consistently demonstrate excellent interpersonal skills in dealing with persons both internal and external to the College, both on the telephone and in person. Ability to work effectively as a member of a small staff where teamwork and cooperation are the rule.

7. Ability to effectively supervise student workers, including training, scheduling, monitoring, evaluating and counseling.

Distinguishing Characteristics

The result of the process of recruiting students is of critical importance to the College. The individual
in this position has a considerable impact on the success of this process and must maintain
confidentiality of information at all times. The ability to establish and accurately maintain, in a timely
manner, extensive and detailed files, both hard copy and computer?based, in an environment where
interruptions such as requests for information are routinely experienced is also necessary. This
requires a person who is detail oriented, well organized and able to effectively prioritize tasks. This
position requires a person who is both skilled in the efficient conduct of office functions and is able to
relate positively to other persons, both internal and external to the College.

Education/Training

A high school diploma is required. Additional education, especially training in computerized office operation, preferred.

Experience

At least two years of experience in an office environment, ideally in an academic setting, is preferred.
