Position Summary

The Assistant Dean of Students provides support to the Assistant Vice President for Student Affairs and Dean of Students in the overall operation and functioning of the Dean of Students office and the division of Student Affairs. The Assistant Dean of Students spearheads case management for students, families, and guests interacting with the Dean of Students office, manages crisis response, serves as the deputy chair of the College’s Behavioral Intervention Team, and provides leadership in the student conduct process. As a non-clinical case manager for undergraduate students, the person in this position will have primary responsibility for providing support to students facing a range of challenges including but not limited to issues related to mental health, substance abuse, regulating behavior and managing conduct. The Assistant Dean of Students will help plan and provide a variety of interventions, referrals and follow up services, maintain accurate and professional case records and provide outreach and education about the Early Alert process and Behavioral Intervention Team to the campus community. This position may provide supervision for one or more student affairs areas and, in conjunction with the Assistant Vice President for Student Affairs and Dean of Students, manages Student Affairs Title IX efforts. The Assistant Dean also undertakes projects that move Student Affairs forward toward accomplishing divisional goals and the College’s strategic plan.

Description of Key Responsibilities

1. Lead all Dean of Students office case management efforts. Implement protocols that facilitate prompt and thorough follow up on all reports and effective and professional record-keeping. Collaborate with other offices and staff members as appropriate. Document all case management concerns, issues, and follow up in the Maxient case management system.

2. Provide appropriate response and support for student, family, and guest issues. Work closely with the wellness center, academic affairs, the center for student success, residence life, athletics, faculty and other campus partners to comprehensively address any/all student concerns.

3. Serve as the deputy chair the College’s Behavioral Intervention Team (BIT) and as a member of the College’s Bias Incident Response Team (BIRT). Ensure that BIT members are trained and invested in behavioral intervention and threat assessment. Remain current on trends and legislation that affects threat assessment work on college and university campuses. Market the team and the Early Alert tool to faculty, staff and students. Ensure accurate and best-practice documentation of BIT case review and interventions through database (Maxient) notes and meeting minutes. Manage all follow up on student issues and communication with reporting parties. Maintain responsibility for the BIT budget and ensure the best/most appropriate use of funds.

4. Represent the interests and priorities of the Office of Student Affairs and the Dean of Students by directly assisting the Dean and through administrative decision-making consistent with College policies and procedures and the current Strategic Plan. Act independently in making decisions and carrying out actions using knowledge of the interests and priorities of the Dean of Students and Office of Student Affairs, while communicating effectively with the Dean and others to ensure coordinated efforts. Act as liaison between the Dean of Students and campus/community constituents; utilize personal initiative and discretion to respond to concerns/issues as appropriate.

5. Execute on crisis response procedures both during the day and after-hours. Participate in on-call duty rotation including responding in person as appropriate. Communicate about student situations/emergencies with the Assistant Vice President for Student Affairs and Dean of Students, the Vice President for Student Affairs and Strategic Initiatives, the Marketing and Communications staff, and others as appropriate. Nurture positive working relationships with community agencies (e.g., the Naperville Police and Fire, YWCA, Edward Hospital). Train staff members and student paraprofessionals to respond appropriately to emergency, crisis and other difficult student situations and to document follow up promptly and effectively.

6. Supervise assigned directors in Student Affairs. Supervise, train, evaluate and develop staff within each area. Establish departmental goals and objectives, student learning assessment, and evaluation processes in conjunction with the staff and consistent with the North Central College strategic plan. Provide supervision for an Area Hall Director on summer assignment and one or more Graduate Students or interns, as assigned.

7. Provide leadership within the College’s student conduct system by coordinating hearing panels, meeting with students and families, and participating in and/or monitoring investigative processes. Ensure accurate and professional record keeping as it relates to student conduct investigations, hearings, and sanctions. Recruit hearing panelists, train hearing panelists and administrative hearing officers, create and/or revise hearing materials, make updates to our student conduct database, coordinate hearing panels, and serve in other conduct-related roles as appropriate.

8. Oversee an annual review of the Student Handbook. Develop policies and procedures to be included in the student handbook. Facilitate the electronic distribution of policies each year through email, trainings of staff and student paraprofessionals, posting on CardinalNet (intranet) and on the College’s external website. Work with residence life, orientation, student involvement, campus safety, athletics, and other campus partners to develop and execute proactive educational experiences in an effort to minimize student conduct violations.

9. Develop and implement a strategy for tracking off campus student addresses. Work in partnership with campus safety, the athletic department, and the Naperville police to proactively educate students living off campus about their rights and responsibilities. Respond to neighbor complaints as they arise.

10. Serve as a Deputy Title IX Coordinator for the College. Provide leadership regarding Title IX efforts in Student Affairs. Ensure effective and prompt investigation, organized record keeping, ongoing student support, and overall execution of Title IX related College policies. Meet with students to take reports, explain options, provide updates and deliver outcomes, as assigned. Make recommendations on revisions to campus wide policy and procedures.

11. Provide leadership and direction on Student Affairs?related compliance on Title IX, Clery, VAWA and related laws or mandates. Specifically, ensure that mandatory student and staff training requirements are met, that policies and procedures are in line with federal and state legal requirements, and that reporting is executed in accordance with federal and state mandates. Coordinate trainings for faculty, staff, paraprofessionals and students as directed, required, and/or prudent.

12. Offer support, guidance, and leadership to important institutional initiatives and priorities. Specifically, assist with organization and leadership of the Green Dot program on campus and the Cardinal Safe Zone initiative. Assist in facilitating trainings, motivating volunteers, and developing and deepening the vision of such initiatives. Work with partners in human resources, student orientation, multicultural affairs, campus safety, the wellness center and residence life to educate students and develop a welcoming and safe campus culture.

13. Create and manage a program for undergraduates/graduates seeking a career in student affairs. In conjunction with the AVP for Student Life and Dean of Students, provide support, mentoring, workshops, career and personal development (including internship opportunities) for these students.

14. Oversee the Student Affairs Web and Cardinal Net presence ensuring that accurate and useful information about services and events is readily accessible to both internal and external audiences. Explore additional technology-supported opportunities for communicating with and connecting with students.

15. Participate in the recruiting and training of new Student Affairs staff. This may involve attending placement conferences, collecting and reviewing resumes, conducting phone interviews, and chairing or serving on search committees. Organize staff learning opportunities and coordinated with the goals of Student Affairs keeping the diverse needs of individual staff members in mind.

16. Represent Student Affairs at admission visit days, orientation programs, and in other on and off campus settings.
17. Chair or participate on institutional committees and/or lead special institutional or Student Affairs projects as assigned by the AVP for Student Life and Dean of Students.

18. Perform other duties and tasks as assigned by the Assistant Vice President for Student Life and Dean of Students and/or Vice President for Student Affairs.

Required Knowledge, Skills and Abilities

3. Expertise in threat assessment and behavior intervention with college students.

4. The ability to lead case management efforts for a diverse population of students. Skill in appropriately responding to student intervention matters including alcohol and drug use, crime, mental health concerns, and sexual misconduct issues.

5. Skill in responding to student conduct matters; including alcohol and drug use, crime, students with psychological problems, and sexual assault.

6. The ability to balance daily demands and unexpected situations within a fast-paced and highly collaborative environment while also balancing the need to be forward focused and plan for the future.

7. The ability to communicate with faculty, staff, students, and parents in a variety highly emotional and tense situations.

8. Knowledge of Title IX, VAWA, Clery and related legislation. Skill in coordinating policies and procedures compliant with this legislation.

9. A commitment to reduce incidents of sexual assault, sexual harassment, domestic and dating violence and stalking.

10. The ability to hire, train, supervise, develop, and evaluate professional staff in Student Affairs.

11. Experience establishing collaborative working relationships with faculty, staff, students, and outside constituent groups.

12. A developmental understanding of college students and a desire to facilitate student academic and personal success in a highly relational, supportive, and challenging yet service oriented environment.

13. Skill in developing learning outcomes/goals for Student Affairs and the ability to critically assess these learning outcomes/goals.

Distinguishing Characteristics

The individual in this position should have a thorough knowledge of the field of student affairs, behavioral intervention/case management, and compliance with relevant laws (Title IX, VAWA, Clery Act, etc.). The ability to coordinate multiple departments with a variety of functions is essential to the Assistant Dean role. A well developed ability to collaborate with others, provide quality services, develop policies and processes and communicate the goals of the Student Affairs division to various constituencies with minimal supervision is also important.

The duties of this position require evening and weekend work, including substantial after hours crisis management and attendance at a variety of events.

Education/Training

Master’s degree in student personnel/higher education or related area from an accredited institution is strongly preferred. Fluency of the Spanish language is also preferred.

Experience

At least five years of experience in student affairs, residence life, case management or a related field is preferred.
