Position Summary

The Office of Conference Services & Camps manages facility rentals, conferences, camps, and weddings. The Assistant Director of Conference Services & Camps will support these activities in concert with North Central’s liberal arts mission and its academic and athletic programs. Working within a team of three (3) Assistant Directors and under the supervision of the Director, each Assistant Director will assume primary leadership over a specific functional area, while acting as a generalist and possessing a deep understanding of all areas of the department in order to seamlessly assist external audiences with special events, conferences, training sessions and weddings.

The person in this position will also build and maintain a mutually beneficial relationship between the College and local community organizations, agencies, and businesses by demonstrating the College’s mission of providing people with the “educational tools needed to be productive, principled and involved citizens and leaders over a lifetime.”

Description of Key Responsibilities

Core Departmental Operations

1. Work closely with the Director of Conference Services & Camps to implement the office’s mission, vision, as well as annual goals and expectations.

2. Assist with the operation of the Conference Services & Camps office by performing various administrative tasks and assisting students, and others, who visit or call the office. This will include acting on the Director’s behalf when assigned and assisting in the planning of departmental programs.

3. Author monthly and/or quarterly reports detailing program growth, revenues and expenditures, enrollment trends and other miscellaneous items that can be used to enhance program operations. Make information readily available to other internal and external constituencies in efforts to build stronger communication links and to make the department more identifiable to the campus and Naperville community.

4. Serve on committees and participate in meetings in a variety of settings. Attend staff meetings. Represent the department by participating in meetings of municipal, civic and professional organizations as identified in cooperation with the Director.

5. All members of the Department of Conference Services & Camps function as one unit and have the ability to assist and substitute in the absence of any given team member.

6. Book facilities required using the College’s reservation software as well as work with multiple departments to fulfill any, setup, media, catering or custodial needs.

7. Work closely with team members of Conference Services & Camps ensuring that all the facilities are reserved all events managed by the department of Conference Services & Camps

8. Assist in any needed area in the department to ensure all clients have an excellent experience at North Central College.

9. Perform job related duties as assigned.

The Assistant Director will be assigned the following areas as their specialty focus, although it is expected that the Assistant Director will have a deep enough understanding of each of the areas to provide support and cross-functional operations:

Residential Conference & Camps Responsibilities

10. Oversee/enhance and grow the College’s Residential Conferences & Camps Program.

11. Create and launch a marketing outreach strategy for residential conferences and camps. This involves formalizing ties to institutional marketing efforts and the Office of Marketing and Communication with regard to the creation, development, implementation, and distribution of all text (catalog, brochures, etc.) and web publications.

12. Oversee the Residential Conferences and Camps budget and have the ability to generate and analyze P&L and other accounting reports. This position will create innovative strategies in efforts to sharply expand the profit margin and meet the financial expectations set forth by the College.

13. Assist the Director of Conference Services & Camps with the collection of feedback from attendees to ensure that the program is meeting the level of standards expected from a North Central College’s program.

Supervisory Responsibilities

14. Oversee the recruitment, selection, training, evaluation and supervision of student workers who work in the Conference Services & Camps office. Build a team that focuses on effective customer relations and quality service to all guests.

15. Serve as direct supervisor to any graduate assistant or undergraduate student workers. This would include creating training programs, supervision and evaluation.

Required Knowledge, Skills and Abilities

1. Able to attend activities, programs, conferences and special events, at alternative hours during the evenings and weekends.

2. Ability to deal with a number of tasks and situations concurrently, including those occurring unexpectedly and must be dealt with immediately, usually without direct supervision. This requires an individual who is self-directed, well organized, detail oriented, flexible and able to effectively prioritize tasks.

3. Ability to communicate in the English language, both orally and in writing, in a manner consistent with professional standards, including the ability to deliver effective oral presentations. The candidate must be an effective listener and have the ability to understand what the communicator is truly saying. Have the skills to develop promotional/marketing materials that are attention-getting and persuasive, and prepare reports that are accurate, thorough yet concise and professionally formatted.

4. Ability to apply mathematical skills necessary for such tasks as the preparation of statistical reports and developing and monitoring budgets such as P&L and other standard accounting reports.

5. Ability to use business-oriented computer systems, especially Microsoft Office Suite.

6. Have knowledge of comprehensive understanding of camps and best practices for camps for minors.

7. Must have strong ability to relate to a variety of constituencies with a variety of needs, and possess a high degree of energy, and quickly grasp knowledge of the College’s operations, including community resources.

Distinguishing Characteristics

The Assistant Director of Conference Services is a vital member of the Conference Services & Camps team and many times the first person that prospective community participants, students and parents meet when phoning or visiting campus. The manner in which these contacts are handled has a powerful effect on impressions of the College and its personnel.

Contributing to the challenges of this position is the fact that unique and spontaneous situations, which must be dealt with immediately, occur regularly and may occur at any hour of the day or night. Each situation requires the application of sound judgment in determining the most appropriate course of action and maintains confidentiality of participants when necessary. Excellent interpersonal skills are essential. The Assistant Director must be able to relate effectively to people from a variety of backgrounds. This person is an integral member of the Conference Services & Camps Team operating in an environment where cross training, cooperation and teamwork are the rule.

The duties of this position require considerable evening and weekend work, including attendance at meetings and events.

Education/Training

Bachelor’s degree required. Master’s in business strongly preferred.

Experience

A minimum of 3 years professional experience working in a fast-paced, high profile environment, experience in preparing and understanding accounting reports.

Licenses or Certifications

Valid Illinois driver’s license required.
